Consents and Contracts

Vy Bildbank provides you with an efficient tool for managing files and personal data. With built-in support for consents and our extended service for linking people and files, you have a ready-made flow and routines for all handling required to comply with GDPR.

About consents

Consent to personal data processing is a request sent out to a person to approve the handling of personal data in image and descriptive information. The request is sent via email and SMS – which also contains the option for the person to revoke their consent.

Create new consent or contract

New consents or contracts can either be created by editing a file and clicking Link to consent or from the list of all consents and contracts.

1. Open Settings -> Consents and contracts
2. Click Create new
3. Fill in the person's contact details
4. Select type of agreement (also selects text)
5. Use the standard wording or change the text
6. If the consent is an already approved model contract or similar, the box to send out email/SMS can be unchecked
7. Click Create

Link files to consent

By linking files to consent, you can easily keep track of which files belong to which consents, and in case the consent is revoked – easily delete from the media bank.

1. Edit one or more files
2. Click Link to consent
3. Either select an already created consent from the list or click New consent
4. Click Link files
5. This can be done multiple times if you want to link the files to several consents, for example if there are several people in the image.

List all consents and see status

In the list under settings, you can see all consents and contracts and what status each consent has. Here you can also change status and see complete information about each consent.
